No. ProvidHQ is designed for both registered and unregistered NDIS providers. Whether you're a sole trader support worker, a small provider team or a registered organisation — if you deliver NDIS supports, ProvidHQ works for you.

Yes. All account data, participant records, progress notes and compliance records are stored on Australian servers (AWS Sydney region). We are committed to compliance with the Privacy Act 1988 and Australian Privacy Principles. When generating AI notes, session observations are sent to our AI provider via secure encrypted connection — we minimise the data shared and participant NDIS numbers are never included. ProvidHQ generates notes structured to align with NDIS Practice Standards — including person-centred language, measurable observations, goal alignment and prompting level documentation. However, you must review and approve every note before using it. You remain professionally responsible for the accuracy of all documentation submitted as part of your NDIS obligations.

Your data is yours. When you cancel, you retain access until the end of your billing period. After that, your data is kept for 30 days so you can export it — then permanently deleted. You can export all your notes, invoices and compliance records as CSV or PDF at any time before or after cancelling. We never lock in your data.

You tap the microphone button and speak your observations naturally — in any language. ProvidHQ auto-detects the language (no setup needed) and transcribes your speech. The AI then structures your spoken observations into professional, audit-ready NDIS note language in English. We support 40+ languages including Arabic, Hindi, Vietnamese, Mandarin, Punjabi, Spanish, Italian, French and more.

$49/month is our early signup launch price — available only during our launch period. Once you lock it in, it's yours forever for as long as your subscription stays active. It never increases. After our launch period closes, Pro returns to the standard price of $79/month for new signups. Existing early signup customers are never affected by price increases.

Yes. You can upgrade from Pro to Team at any time — your launch pricing will be applied to the Team plan rate if you're still within the launch period. Downgrades take effect at the end of your current billing period. Contact hello@providhq.com.au to discuss plan changes.

Pro is designed for solo operators — one login, unlimited participants, full features. Team adds unlimited staff logins so every support worker on your team has their own account, plus a shared team dashboard, role-based permissions and advanced compliance reporting. Not yet. Currently ProvidHQ is a standalone platform. Integrations with other NDIS platforms and plan management software are on our roadmap. You can export your data at any time as CSV or PDF for use in other systems. If you have a specific integration request, email us — we prioritise based on demand.
